1. Booking

First things first: to get the party started, fill out our enquiry form with your name, email, company and phone number. Even better, if you already have an idea of your budget range and what type of event you might be interested in, let us know, to help make the process faster!

Within 45 minutes of your enquiry, we’ll give you a call (or an email, if you’re busy) to confirm specifics, such as location, goals, number of people, date and desired activity. If you have a specific venue in mind, let us know, but we can also help you find one.

Our proposals are completely free and bespoke, and we’ll work with you if you want to customise your event in any way. After you choose your event, sign a booking form, and let us take care of the rest!

2. Pre-Event Planning

After booking an event with GOTO Events, you will be assigned a dedicated project manager who will plan every detail of your event, including timings, venue arrangements, event staff and event customisation. They will get in touch with you prior to the event to confirm everything, while also liaising with the venue in the background to verify all the key details.

3. Customisation

For some events, you have the chance to add customisation such as company logos or values. This can come at an extra cost, but we’ll let you know about any additional charges in advance.

4. Location

GOTO Events is a fully mobile team building company, bringing indoor and outdoor events to venues across the UK. Before your event, we pack all the necessary kit into our vans and travel to you with our team to set everything up and deliver an unforgettable experience. We also organise virtual experiences for remote teams.

5. Venue

GOTO Events offers a free venue-finding service, so if you don’t already have a venue in mind, we’ll find one for you. We have access to over 10,000 venues across the UK, from hotels and stadiums to parks, racecourses and historic estates. You’re also welcome to host your event at your own office; we just need the space, and some events may require access to power and internet. Don’t worry, your project manager will arrange everything in advance to make sure the venue is suitable.

6. Accessibility

GOTO Events offers more than 100 team building activities, and many can be adapted to meet a wide range of accessibility requirements. We regularly accommodate people with limited mobility, remote employees, wheelchair users, neurodivergent participants and other individual needs.

If you have specific requirements or mobility considerations, our team will work with you to find the best option. If you need a venue with a disabled toilet, ramp, quiet room or similar, let us know, and we’ll make sure that the venue is accessible to you.

7. Set-up

GOTO Events will liaise with the venue in the lead-up to your event to arrange everything required to get it up and running. Our event staff will arrive well before the start time to set everything up, so everything is ready when your team arrives. You don’t need to arrive early, help with set-up or do any preparations, we take care of everything for you!

8. Equipment

As GOTO Events is fully mobile, we bring everything with us, from materials and props to projectors, speakers and lights, including any customised or additional materials you may have booked. You can sit back and relax without worrying about all the minor details!

9. On-Site Staff

GOTO’s event managers are highly skilled in working a crowd, bringing years of experience, energy and enthusiasm to every event. Some are even professional actors and presenters. Every event comes with several event staff, led by an experienced event manager. The wider event team will assist with setting up, packing down and making sure everyone is having a great time throughout the event.

All of GOTO’s event managers are first-aid trained in case of emergencies and are responsible for overseeing health and safety on the day.

What does a team building event manager do?

GOTO’s event managers are in charge of bringing the event to your venue, setting up and packing down, as well as giving instructions and keeping up the positive energy throughout the event. Basically, they’ll be the person with the microphone egging everyone on, but also the one to step in if anything goes awry.

How many event managers will be at the event?

Every event will have one event manager who is in charge of the event and the microphone. Most events will also have several additional event staff (dependent on group size and activity), who assist with setting up and running the event, packing down and ensuring everyone is having a great time.

10. Teams

For most of our events, participants work in teams, either competing against each other or collaborating. The size of your group and the type of event will determine how many participants are placed in each team. You’re welcome to pre-plan the teams if you’d like specific people or departments to work together, or you can leave it until the day of the event, when teams will be split at random.

11. Weather

Our outdoor events are a fantastic option all year round. As the weather in the UK can be unpredictable, all our outdoor events include an indoor contingency option. Your event manager will check the weather a few days before your event, and if bad or very hot weather is forecast, we’ll contact you to make any necessary arrangements and discuss the contingency plan with you.

What happens if it rains at my team building event?

While we’ll always do everything we can to help your outdoor event run smoothly, the weather can be unpredictable. If you’re planning an outdoor event, we recommend booking an indoor space nearby in advance, so there is a suitable contingency option available if needed.

That said, a little rain doesn’t have to stop the event and can even add to the experience. We simply recommend guests bring a raincoat, just in case.

12. Duration

Most of our activities last from one to three hours, but are flexible and can be adapted to fit your schedule. Moreover, it’s possible to combine various activities for longer events, even at different times of the day. You’re always welcome to enquire about several activities at once!

13. Pack-Down

Pack-down is included as part of our end-to-end event management, so we’ll take care of everything for you. Our team will manage the full pack-down process, including clean-up, ensuring the space is left tidy and ready to go. We’ll work efficiently and discreetly, so you can continue with the rest of your agenda without any disruption.

14. Virtual Events

GOTO Events has an expert virtual event set-up, so you don’t need to worry about the technical side or any of the small details. We’ll take care of the logistics and provide clear, simple instructions before the event, so everyone knows exactly how to join and what to do. It’s designed to be really easy for participants to get involved.

The event will take place on your chosen online meeting platform, such as Zoom or Teams, and will be hosted in real time by a live host. Similar to our in-person team building events, participants will be divided into mini-teams to take on challenges and compete against each other. Some virtual events may also include an app to make the experience even more immersive, with all instructions provided in advance.

All links, instructions and materials, such as tasting kits, will be sent to the team prior to the event, so everything is ready to go on the day.

15. Catering

Many of the venues we work with offer on-site catering facilities, making it easy to include food and refreshments as part of your event. Where catering is not available on-site, we can help request quotes from suitable catering suppliers and arrange for catering to be delivered to the venue.

We also offer a range of hands-on food-based team building events, creating fun, interactive and memorable culinary experiences for your team.

16. Transportation

GOTO Events will help you find a venue that is accessible for all members of your team. While we do not arrange transport directly, we will consider your team’s travel requirements when sourcing or confirming a suitable venue.

Some venues may have limited parking, so please let us know how many parking spaces you are likely to need. We will check this with the venue in advance and confirm the details prior to your event.

17. Additional Entertainment and Event Services

If your event requires additional third-party services, such as live music, DJs, performers, interpreters or other specialist suppliers, GOTO Events can manage this process on your behalf. We will discuss your requirements in advance, source suitable suppliers where needed, and provide clear pricing for approval before any bookings are confirmed. This ensures all additional services are arranged professionally and integrated smoothly into your event plans.
